01 Introduction
Flow Focus ("we," "us," or "our") is committed to protecting the privacy of individuals who visit our website or engage our website design, hosting, and digital presence services ("you," "your").
This Privacy Policy explains how we collect, use, disclose, and safeguard personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Canadian privacy laws.
By accessing our website (https://flowfocus.pro) or engaging our services, you consent to the practices described in this Privacy Policy.
02 Information We Collect
A) Personal Information
We may collect personal or business-related information that you voluntarily provide, including but not limited to:
- Name
- Email address
- Phone number
- Business name
- Information you provide through our contact form or during onboarding — such as your business description, target audience, and branding preferences — used to build your website
- Billing or payment-related information (processed securely via a third-party payment processor)
B) Non-Personal Information
We may collect limited non-identifying information such as:
- Browser type
- Device information
- IP address
- Website usage data (via standard analytics tools)
This information is used only to understand website usage and improve performance. Section 06 below covers voice/audio recordings separately, since that's more sensitive than the items above.
03 How We Use Your Information
We use collected information solely for legitimate business purposes, including:
- Communicating with you regarding inquiries or services
- Designing, building, and delivering your website, domain, and business email
- Understanding your business's brand, voice, and content needs to inform your website copy
- Setting up optional add-ons you request, such as CRM integration or digital footprint building
- Managing invoicing and payments
- Improving our website and service offerings
- Complying with legal and regulatory requirements
We do not sell or rent personal information. Ever.
04 Third-Party Service Providers & Disclosure
We use trusted third-party service providers — for example, hosting and domain providers, payment processors, and CRM or communication platforms — to deliver our services. These providers process certain information on our behalf or independently, under their own privacy policies.
Your use of any third-party platform, and any issue arising from that platform's own practices, is governed by that platform's privacy policy and terms — not this one. We choose our providers carefully, but we don't control, and aren't responsible for, their independent data practices.
Beyond our standard service providers, we do not disclose personal information except in the following limited circumstances:
- Legal Obligations: When required by law or a regulatory authority
- Business Transfers: In the event of a business sale, merger, or restructuring (with appropriate safeguards)
05 Cookies, Chat & Website Tracking Tools
Our website may use basic cookies or analytics tools to improve functionality, understand visitor behaviour, and enhance user experience. You may disable cookies through your browser settings; however, this may affect website functionality.
Our website, and websites we build for clients, may also include chat or messaging tools — for example, a Facebook Messenger chat plugin or a CRM-based chatbot — either as a standard feature or as an à la carte add-on. Use of these tools is governed by the relevant platform's own privacy policy, consistent with Section 04 above.
06 Voice & Audio Recordings
As part of onboarding, you may choose to send us a short voice message (for example, via WhatsApp) so we can get a feel for your business's speech patterns and tone.
We use voice messages solely to inform the writing of your website copy. We don't use them for any other purpose, and we retain them only as long as needed to complete your website build — after which they're deleted.
Providing a voice message is optional. If you'd rather not, you can describe your brand voice to us in writing instead.
07 Data Retention
Personal information is retained only for as long as necessary to fulfill the purposes outlined in this policy or to meet legal requirements. When no longer required, information is securely deleted or anonymized.
08 Data Security
We implement reasonable administrative, technical, and organizational safeguards to protect personal information. While no system can guarantee absolute security, we take appropriate measures to minimize risk.
09 Your Rights
You have the right to:
- Request access to your personal information
- Request corrections to inaccurate information
- Withdraw consent where applicable
- Raise concerns regarding data handling practices
Requests may be submitted using the contact details in Section 13 below.
10 CRM Integration & Your Customers' Data
If you purchase CRM Integration as an add-on, we configure a CRM platform on your behalf. Our own use of that platform in delivering this service to you is governed by this Privacy Policy.
Once configured, any personal information belonging to your own customers that you or your business enters into that CRM is governed by (a) your own business's privacy policy, and (b) the CRM platform's own privacy policy — not this one. Our role is limited to technical setup and configuration; we do not control, and are not responsible for, how you or the CRM platform subsequently collect, use, or store your customers' information.
If you don't already have your own privacy policy covering how you handle your customers' data, we recommend putting one in place before using CRM Integration — ask us and we can point you in the right direction.
11 Third-Party Links
Our website may contain links to third-party websites. Flow Focus is not responsible for the privacy practices of external sites, and we encourage you to review their policies independently.
12 Policy Updates
We may update this Privacy Policy periodically to reflect changes in practices or legal requirements. Updates will be posted on our website with the revised effective date.
